In real estate the commission statement is the one document every agent reads twice.
Last updated October 2026
One US brokerage moved commissions into its Salesforce real estate CRM and turned days of chasing into a same day email. No spreadsheets, no manual steps and no more Friday messages asking whether finance has sent it yet.
- Commission requests moved out of emails and spreadsheets into one form on the Salesforce Opportunity
- Statements are generated as PDFs and emailed automatically, with zero manual steps in distribution
- Agents get their statements the same day, on desktop or on the Salesforce mobile app
- External partners use a Salesforce Community portal, and Apex sharing shows each person only their own data
Why commissions are the most sensitive process in real estate
Commissions combine money, trust and speed. An agent who closes a deal on Monday wants to know on Monday what they earned. Every day of waiting turns into a message to finance, and every manual step is a chance for a mistake that someone has to explain.
For a brokerage, late or wrong statements are not a paperwork problem. They are a retention problem, because good agents notice where they are paid quickly and accurately.
The situation before
The brokerage tracked commission requests across emails and spreadsheets, with no single system of record. Statements were built by hand, which was slow and error prone once agent volume grew. External partners had no structured way to see or submit commission information, and field agents had no way to do any of it from a phone.
“Our agents were waiting days for commission statements that should be sent automatically.”
Michael B., Operations Director, US real estate companyWhat is a Salesforce real estate CRM?
A Salesforce real estate CRM is a Salesforce setup built around how a brokerage actually works, with listings, buyers, sellers, agents and deals in one place. Most brokerages start with leads and listings. The bigger gains often come from putting money processes such as commissions next to the deal, because the Opportunity already holds the price, the agents involved and the closing date.
That is the approach behind our Salesforce for real estate work for US brokerages and listing platforms.
What we built
The whole app lives at the Opportunity level, so every commission request is tied to the deal it comes from.
- A Commission Request Form built as a Lightning Web Component, with custom search boxes, combo boxes and toggles, wrapped in a reusable Aura component so it works on desktop and mobile
- An Apex backend that handles create, read, update and delete operations, file uploads and sharing rules, with batch processing for legacy data and triggers for transaction events
- A commission statements module that finds the right recipients, picks the template and generates PDFs with Visualforce, in batches for high volumes
- Automatic email delivery of each statement as soon as it is generated
- Three ways in, the desktop app for the office team, the Salesforce mobile app for field agents and a Salesforce Community portal for external partners
Apex sharing rules mean each agent and partner sees only their own commissions. For the first time the brokerage had secure, structured data sharing instead of PDFs forwarded by email.

Forms like this are typical Salesforce custom development work, built on top of the standard Opportunity rather than in a separate tool.
The results
- Zero manual steps in commission statement distribution
- Same day statements instead of days of waiting
- Secure data sharing through Apex sharing rules, for the first time
- One system on desktop, mobile and the partner portal, ready to scale as the agent network grows
“The new system generates and emails them the same day, no manual steps, no delays.”

Five signs your commission process belongs in Salesforce
If two or more of these sound familiar, the process is costing more than it looks.

Common questions
Can Salesforce calculate and send real estate commission statements automatically?
Yes. In this project commission requests are captured on the Opportunity, statements are generated as PDFs with Visualforce and emailed automatically in batches. The brokerage went from manual statements to same day delivery with zero manual steps in distribution.
Can external partners see commission data in Salesforce?
Yes, through a Salesforce Community portal. Partners log in, see only the records shared with them and submit information in a structured form, instead of exchanging spreadsheets and PDFs by email. Apex sharing rules control exactly what each person can see.
Do agents need a laptop to submit a commission request?
No. The form is a Lightning Web Component that works in the Salesforce mobile app, so field agents can submit requests from a phone right after a closing, without waiting to get back to the office.
When agents stop chasing their own money, they spend that time closing the next deal.
